Building the Structure
Behind the Mission.
The Diagnosis
When this build started, Daughters of Eve had a working mission and no working backend. Applications came in through email with no pipeline behind them. Leader approval had no defined path from interest to launch. Donations processed with friction and no clean reporting.
Documentation for curriculum, governance, and applications lived scattered across devices and inboxes. The website described the ministry. It didn't move anyone toward a next step.
The gap wasn't vision. Jill had that. The gap was structure — the systems that let a mission carry more than one founder can hold in her head.
The Build
Mapping the Operational Bottlenecks
Before building anything, the work started with mapping where time, attention, and revenue were leaking, and drawing the boundaries: what needed a system versus what needed a decision only Jill could make.
Infrastructure & Pipelines
- Website: Rebuilt around three core paths — Join a Group, Host a Group, Donate. Messaging tightened, FAQ restructured, applications simplified, one CTA per page instead of five.
- Donations: Moved to Zeffy for recurring giving — fee-free intake, reporting Jill can read without translating it herself.
- Participant Pipeline: A tracked path (Website Visit → Application → Review → Follow-Up → Placement → Ongoing Engagement) inside a Participants database, giving every applicant a known status.
- Leader Pipeline: A Leaders database carrying the full journey from Interest Form → Consultation → Consent → Background Check (Safe Screener) → Review → Training → Launch.
Leaders
- Operational Hub: Task Board, Communication Log, Documents Hub, and Small Groups & Events database — one unified system of record.
- Access Infrastructure: Centralized credentials vault with handoff tutorials attached so the system survives a transition in personnel.
Daughters of Eve Administrative Hub
Stewardship & Creative Production
- Reports & Analytics: Rolled email performance, board/admin meeting notes, and testimonials into one centralized view.
- Donor Rhythm: Created an Email Content Bank and 2026 Marketing Calendar to establish consistent communication.
- Volunteer Support: Built a Prayer Intercessors Team roster and Staff Application Hub.
- Creative Production: Designed the Leaders Guide and Girls' Guide covers, sourcing cost-effective print vendors.
Measurable Impact
- Donation processing moved from friction-heavy to fee-free and recurring.
- Every applicant now has a known status — no lost applications, no guessing.
- Leader approval runs on a defined path instead of ad hoc vetting.
- Documentation lives in one hub instead of scattered devices and inboxes.
- Donor communication runs on a calendar instead of a scramble.
